Terms of Service

These terms explain the agreement between you and us when you use BusyBee Hub. Please read them before you create an account. If something isn't clear, email support@busybeehub.co.uk and we'll explain it.

1. Who we are

BusyBee Hub is provided by BusyBee Hub Ltd, a company registered in England and Wales with company number [COMPANY NUMBER], whose registered office is at [REGISTERED ADDRESS]. In these terms, "we", "us" and "our" mean BusyBee Hub Ltd, and "you" means the person who creates an account and, where relevant, the business you use BusyBee Hub for.

2. The agreement

When you tick "I agree to the Terms and Privacy policy" and create your account, you accept these terms. They work together with:

  • our Privacy Policy, which explains how we handle personal data
  • our Cookie Policy, which explains the cookies and browser storage we use
  • our Data Processing Agreement, which applies to the personal data about other people (such as your customers, tenants and subcontractors) that you keep in BusyBee Hub

We record the version of these terms and of the Privacy Policy you accepted, and when you accepted them.

3. Who can use BusyBee Hub

BusyBee Hub is tax and accounting software for UK sole traders, landlords and CIS subcontractors. To use it you must:

  • be at least 18 years old
  • use it for your business or property income, not as a consumer for personal purposes
  • give us accurate information when you register and keep it up to date

Because BusyBee Hub is a business service, consumer protection rules that only apply to people buying for personal use, such as the 14-day cancellation right for online purchases, don't apply.

4. The service

BusyBee Hub lets you keep your books, send invoices and estimates, record expenses, bills, mileage and time, connect or import bank accounts, manage properties and tenancies, track CIS deductions, see an estimate of your tax, send Making Tax Digital updates, your Final Declaration and VAT returns to HMRC, run reports, and ask Finble, our assistant, about your own figures.

Features marked "coming soon" aren't available yet. We keep improving BusyBee Hub, so features may change. If we remove something that's a significant part of your plan, we'll tell you in advance.

We aim to keep BusyBee Hub available at all times, but we can't promise it will never be interrupted. We may need to take it offline for maintenance or updates, and services we rely on (such as HMRC, your bank or Stripe) can be unavailable too. Give yourself time before a filing deadline.

5. Your account

You can register with an email address and password (at least 12 characters), or with Google or Apple sign-in. You'll need to confirm your email address before you can set up your business.

You're responsible for keeping your login details safe and for everything done through your account. We strongly recommend turning on two-factor authentication from Settings → Security. If you think someone else has accessed your account, change your password and tell us straight away.

6. Your team and your accountant

The person who creates an organisation is its owner. The owner can invite up to five colleagues (as admins or members) and one accountant, at no extra cost. What each person can do depends on their role:

  • Owner: everything, including billing, changing roles, transferring ownership and deleting the organisation
  • Admin: everything except billing and deleting the organisation
  • Member: documents, banking and taxes, but not settings or the team
  • Accountant: sees all of the organisation's data, including tax identifiers, keeps the books and can prepare and file VAT returns and Making Tax Digital submissions through the HMRC connection you've authorised, but can't change invoices, payments or settings

You're responsible for who you invite and what they do in your organisation. You can remove anyone from Settings → Team at any time.

7. Free trial

Every new organisation gets a 30-day free trial. We don't ask for card details to start it. We email you 7 days and 1 day before your trial ends.

If you choose a plan during your trial, your first payment is taken when the trial ends. If your trial ends before you choose a plan, your organisation becomes read-only (see section 10).

8. Plans, prices and payment

Our plans are:

  • Sole trader: £17 a month or £170 a year
  • Landlord: £8 a month or £80 a year

Prices exclude VAT. We aren't VAT-registered yet, so no VAT is added today. When we register, VAT will be added at the applicable rate and shown clearly before you pay.

Subscriptions are paid in advance by card, Apple Pay or Google Pay through Stripe, and renew automatically at the end of each monthly or yearly period until cancelled. Only the organisation's owner can start, change or cancel a subscription. We may accept promotion codes at checkout.

You can change plan from Settings → Billing. Upgrades apply straight away and you pay the difference for the rest of the period. Downgrades apply at the end of the period you've already paid for. During your free trial, switching plans is instant and free.

If a payment fails, Stripe retries it automatically. You keep full access until 7 days after your current billing period ends. If the payment still hasn't been made by then, your organisation becomes read-only.

We may change our prices. We'll give you at least 30 days' notice by email before a new price applies to you, and it will take effect from your next renewal after that notice. If you don't want to pay the new price, you can cancel before it applies.

9. Cancelling and refunds

You can cancel at any time from Settings → Billing → Manage billing. Your subscription stays active until the end of the period you've already paid for, and then your organisation becomes read-only.

Payments aren't refundable, including for any unused part of a monthly or yearly period, unless the law requires a refund, we've made a mistake with your billing, or you cancel because you object to a new sub-processor as described in our Data Processing Agreement.

10. Read-only organisations and deletion after 12 months

An organisation becomes read-only when its free trial ends without a plan, when a subscription ends, or when a failed payment isn't resolved. While read-only, you can still sign in, see everything and download your reports, but you can't create or change records, connect services or send anything to HMRC. Choosing a plan restores full access straight away.

If an organisation stays read-only for 12 months, we'll delete it. At least 30 days before that, we email the owner to warn them and give the date it will be deleted. Choosing a plan before that date stops the deletion. Once an organisation is deleted, its data (including documents, bank transactions, uploaded files, tax records and connections to HMRC and your bank) is permanently removed and can't be recovered. Your login stays, so you can start a new organisation or ask us to delete your account too.

This doesn't apply to organisations that are suspended (see section 15) or that we've given free access to.

11. Deleting your account

You can ask us to delete your account and its data at any time by emailing support@busybeehub.co.uk or using our contact form with the topic "Data & privacy". We'll do it within 30 days. Before we can delete your account:

  • any active subscription on an organisation you own must be cancelled
  • if other people are members of an organisation you own, you'll need to transfer ownership to one of them or remove them first

Deleting your account deletes every organisation where you're the only member. Download anything you need to keep first (see section 12).

12. Your records and your responsibilities for tax

BusyBee Hub is a tool to help you keep records and meet your tax obligations. It isn't a firm of accountants or tax advisers, and nothing in BusyBee Hub is tax, legal or financial advice. You're responsible for:

  • the accuracy and completeness of the information you and your team enter, import or confirm
  • checking figures before you send them to HMRC: every quarterly update, Final Declaration and VAT return is sent only when you (or someone you've authorised in your organisation) confirm it, including the legal declaration HMRC requires
  • meeting your deadlines and paying the tax you owe
  • keeping your business records for as long as HMRC requires, including after you stop using BusyBee Hub; you can download reports as CSV or PDF, and an accountant pack for each tax year, at any time

Tax estimates, cash flow forecasts and Radar insights are worked out from the information in your account at the time. They're estimates, not a guarantee of what HMRC will charge. If you're unsure about your tax position, speak to a qualified accountant.

When you connect BusyBee Hub to HMRC, you authorise us to send and receive information for you through HMRC's Making Tax Digital services. HMRC's authorisation lasts up to 18 months, after which you'll need to reconnect. Each time we contact HMRC for you, we send the fraud prevention information HMRC requires by law, described in our Privacy Policy.

13. Finble and AI features

Finble answers questions about your own figures and general UK tax rules. Receipt capture and bank or CIS statement imports use AI to read the documents you upload. AI can get things wrong, so check what it tells you or extracts before relying on it. Finble isn't regulated advice. Each organisation can send up to 50 messages to Finble a day, and Finble isn't available while an organisation is read-only.

14. Services from other providers

Some features rely on other companies, whose own terms apply alongside ours:

  • Bank connections: we connect to your bank through TrueLayer, which is authorised and regulated by the Financial Conduct Authority to provide account information services. The connection can only read your account details, balances and transactions; it can't move money. Your bank will ask you to renew your consent every 90 days. We never see or store your online banking login details.
  • Subscription payments: processed by Stripe on a page hosted by Stripe.
  • Online payments from your customers: if you connect your own Stripe account, Stripe's terms for that account apply between you and Stripe. The money goes to your Stripe account and you pay Stripe's fees. BusyBee Hub currently adds no fee of its own; if that changes, we'll tell you at least 30 days in advance.
  • HMRC: submissions are received and processed by HMRC under its own rules.

We aren't responsible for services provided by these companies, but we'll help where we can if something goes wrong.

15. Acceptable use

You must not:

  • use BusyBee Hub for anything unlawful, fraudulent or misleading, including submitting information to HMRC you know to be false
  • try to access data, accounts or organisations you aren't authorised to access, or to get around our security or usage limits
  • upload viruses or harmful code, or disrupt BusyBee Hub or the services it relies on
  • copy, resell or reverse engineer BusyBee Hub, or use automated tools to access it except as we allow
  • send invoices, estimates or other emails through BusyBee Hub to people you have no business reason to contact

We may suspend or close your account, straight away if necessary, if you seriously or repeatedly break these terms, if we reasonably suspect fraud or misuse, or if the law requires us to. Where it's appropriate and lawful, we'll tell you why and give you a chance to put things right first. A suspended account can't sign in.

16. Your data and our software

Your data belongs to you. You give us permission to store, process and display it only so we can provide BusyBee Hub to you and to the people you invite, and as described in our Privacy Policy and Data Processing Agreement.

BusyBee Hub, including its software, design, content and branding, belongs to us or our licensors. We give you a non-exclusive, non-transferable right to use it for your business while your account is open. If you send us feedback or ideas, we may use them without any obligation to you.

17. Our liability to you

Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else the law doesn't allow us to limit.

Subject to that, we aren't liable for:

  • loss of profits, revenue, business, goodwill or anticipated savings, or any indirect or consequential loss
  • penalties, interest or other amounts charged by HMRC or anyone else that result from information you or your team entered, imported or confirmed, from a missed deadline, or from a submission you chose to make
  • problems caused by services we don't control, such as HMRC, your bank, TrueLayer, Stripe or your internet connection
  • loss of data you could have avoided by downloading it, including after an organisation is deleted under section 10

Our total liability to you for all claims arising from or connected with BusyBee Hub in any 12-month period is limited to the amount you paid us in the 12 months before the event giving rise to the claim.

18. Changes to these terms

We may update these terms, for example when we add features or when the law changes. If a change significantly affects you, we'll tell you by email or in BusyBee Hub at least 30 days before it takes effect. If you don't agree with the change, you can cancel before it applies. The date at the top of this page shows when these terms were last updated.

19. General

  • These terms are the whole agreement between you and us about BusyBee Hub.
  • If a court finds part of these terms can't be enforced, the rest still applies.
  • If we don't enforce a right straight away, we can still enforce it later.
  • We may transfer our rights and obligations under these terms to another organisation, for example if our business is sold, and we'll tell you if we do. You may not transfer your account without our agreement.
  • Nobody other than you and us has any right to enforce these terms.
  • These terms are governed by the law of England and Wales, and the courts of England and Wales have jurisdiction. If your business is based in Scotland or Northern Ireland, you can also bring proceedings there.
